Summary of Position

The Accounting Assistant role executes accounts payable as directed in accordance with generally accepted accounting principles, techniques and practices.

 

Duties and Responsibilities

  • Records 500+ vendor invoices and expenditures per month utalizing the Three-way matching process and general ledger account coding after validating that the invoice has the appropriate approval level according to the DLA.
  • Conducts weekly review meetings of the Accounts Payable Report with management.
  • Processing payment runs to pay suppliers and vendors according to established procedures.
  • Works with internal and external contacts to research and resolve any invoice discrepancies and payment status requests.
  • Reviews vendor statements and resolves any past due or missing invoices.
  • Processes annual 1099 tax form filing.
  • Performs the annual Accounts Payable close/roll in the ERP system.
  • File invoices in a timely manner and maintain vendor files.
  • Reconciles and prepairs the monthly Accounts Payable General Ledger Account Reconciliations.
  • Assists with month-end closing procedures.
  • Provides backup for reception area and phones.
  • Performs other duties as assigned.

 

Position Requirements

  • Associate's degree in Accounting, Bookkeeping, Finance, or related field with at least 5-7 years of applicable experience required. Bachelor's degree preferred.
  • Proficient to advanced knowledge of Microsoft Office Suite software.
  • Excellent verbal and written communication skills.
  • Excellent data entry skills, high level of accuracy and thoroughness.
  • Strong attention to detail and accuracy.
  • Strong analytical and problem solving skills.
  • Ability to work independently on assigned duties.
  • Ability  to compare data against written policy guidelines and identify variations or exceptions.
  • Ability to deal sensitively with confidential material.
  • Demonstrates an ability to manage a variety of priorities while meeting deadlines.
  • Desire to improve processes.
  • Knowledge of 1099 reporting requirements.
